Minutes of the Oak Terrace Improvement Association Board Meeting – February 7, 2018
Board members present: William Yarbrough, Greg Denny, Kevin Shifley, Dan Griffin, Jill Bates, Colleen Hodges, Ramona Triebold, Jim Loring, and Tracy Kleinschmidt.
Members at large present: Richard Rieck
The meeting was called to order at 7:00pm by President Greg Denny.
A motion was made Kevin Shifley to accept the minutes as presented. Jim Loring seconded the motion and it passed.
Treasurer’s Report- William reported that invoices have been sent out to our owners. We started 2018 with a balance of $22,734.67. With our billed receivables being $53,354.20, our total assets come to $76,088.87. The statements sent to owners report that interest will be added to outstanding balances after 90 days. William also reported that there had been a discrepancy on the number of PINs for the subdivision. The actual number of PINs is 179 in total. He shared that Ken Hohs will be the new boat ramp key contact person for the subdivision and that the gate will have a new lock for this season. Kevin Shifley made a motion to accept the treasurer’s report as stated. Jill Bates seconded and the motion passed.
Legal- Greg will contact the attorneys regarding Lot 42 and the fact that it encroaches on subdivision common property. Dan will contact the county agency for a title on the property. Greg was asked by a member to check into the legality of the Board making decisions for common areas. He has forwarded the attorney’s email response regarding this decision.
Restoration Areas- Jim reported that some seeding will take place while there is snow on the ground as this is a good method for spring seeding.
New Business- We are still in need of someone to take on the publishing of The Acorn. Ramona will try to get the template and produce an edition by the end of February. We will mail it via the USPS.
Kevin reported creating an Instagram account for the subdivision as a place to share pictures. It was created using the Oak Terrace Neighbors email account. We are also looking into changing administrators on the Oak Terrace Facebook page.
The Easter Parade and Hunt will be held on Saturday, March 31st and Tracy Kleinschmidt has volunteered to chair this event.
There being no further business before the Board, William Yarbrough made a motion to adjourn. Kevin Shifley seconded and the meeting adjourned at 7:38pm.
